Where you give us your details, or where we collect your business contact details from a public source, we may contact you to introduce Urban Intelligence®, explain what we do, and discuss how Resilience Explorer® could support your work. We may also send broader marketing communications such as updates about new features, events, and research opportunities. All of our sales and marketing messages clearly identify us and include a simple option to unsubscribe. You can opt out of sales and marketing communications at any time.

When you unsubscribe, we stop sending you marketing messages. We keep a limited record of your contact details so that we can honour your request and make sure you are not added back to our marketing lists. We do not sell your personal information.

Overseas Disclosure

Some of the trusted service providers we use to deliver our services, such as customer relationship management, email delivery, and cloud hosting platforms, store or process personal information outside New Zealand. Depending on the provider and how our accounts are configured, your information may be held in Australia, the United States, or the European Union, and some processing, support, and back-up activity may occur in the United States or other locations where these providers operate.

Under Information Privacy Principle 12 of the Privacy Act 2020, we only use overseas providers who are required, through contractual terms or their own privacy obligations, to protect your personal information to a standard comparable to that required in New Zealand, or where you have authorised the disclosure.

Data security

We take reasonable and proportionate steps to protect your personal information from:

• Loss, misuse, and unauthorised access.

• Data breaches or corruption.

• Accidental disclosure or alteration.

We use encrypted communications, secure cloud infrastructure, role-based access, and audit logging.

If a privacy breach occurs that is likely to cause serious harm, we will notify the affected individuals and the Office of the Privacy Commissioner as required under the Privacy Act 2020.

Data retention

We only retain personal information for as long as necessary to:

• Provide our services.

• Fulfil the purposes for which the information was collected.

• Comply with legal and contractual obligations.

We retain contact, lead, and client project records in our systems for as long as we have a legitimate business reason to keep them. Because many client projects run over multiple years, we generally retain these records for the life of the relationship and beyond, so that historical project context remains available. We hold records securely throughout this period.

You can request deletion of your personal information at any time, and we will action your request unless we are required to retain the information by law or contractual obligation. See Your Rights below.
